What documents must be tracked for HITECH/HIPAA compliance? |
The challenges of complying with an OCR HITECH / HIPAA audit are numerous. As such, preparing for a audit can be quite overwhelming. We covered this topic in our June 2012 Newsletter. We also did a number of Blog Talk Radio shows on this topic:
Finally, we did a webinar on this topic and the slides can be found here. What we are covering today is another perspective on an audit, specifically the kinds of documents that you may be asked to produce.
The challenge for compliance professionals is to provide visible demonstrable evidence that your organization is in compliance. The way you do that is to produce documents that reflect process results. In our "What to expect?" content described above, we walked you through Checklist Items which are made up of the following components:
- A policy statement that reflects an organization's compliance intentions are (the what);
- A definition of a process by which the policy is implemented (the how); and
- Suggested mechanism(s) for capturing the results of the process (the tracking mechanism or measurement).
Tracking mechanisms usually result in documents of "compliance process results." This is the real evidence that demonstrates that your organization is following its processes (assuming you have defined them) and fulfilling the intentions described in your policies.
In short, we are talking about the end game: the compliance documents you should be producing as a result of implementing your compliance program. Keep in mind, like so much of HITECH / HIPAA compliance, there is no "one size fits all" set of documents pertinent to every covered entity or business associate. However, in general, there is a "core set of documents" that all organizations should be producing. This core set is what we focus on in this article.
